Change employee ID

If you have been assigned the particular administrator right (Admin - Change Employee ID), you will be able to change an employee's employee ID online.

To change a user's employee ID:

  1. Click the Employees button on the Administration Overview diagram (Employee view).

    The Employee Administration screen appears.

  2. Click Search at the top-right of the screen.

    The Employee Search window appears.

  3. Use the search criteria defined in the Search for employee procedure to narrow the search for the employee you want.

    The Employee Administration screen re-appears, displaying the search results table.

  4. Click Grey person in white circle with grey outline to the right of the employee.

    The Personal Details Report window appears.

  5. Click the Change.. link beside Employee ID.

    The Change Employee ID dialogue box appears.

  6. If prompted, enter your authentication details again.
  7. Type the employee's new ID and click Save.

    Warning: Ensure the ID contains only alphanumeric or underscore ( _ ) characters.

  8. If you want to edit the employee record further, you need to re-perform the employee search and thereby refresh the employee's data in the system.

Warning: If you change an employee ID online, make sure you also update the Employee ID column in your company's source human resources (HR) interface file as well as any column where the employee ID is specified (eg. to identify them as a manager of another employee).
