Lock/unlock employee account

If necessary, an administrator can lock an employee's account to stop them from logging onto Spend Dynamics. This could occur, for example, if an employee leaves your organization.

What's more, you can unlock an account if an employee fails to enter their correct password more than three times and the system automatically locks them out. If necessary, you can change the employee's password at the same time.

Note: If an account has been locked and unused for three months, Spend Dynamics automatically deletes the login associated with that account (the username and password). In this situation, the employee will need to contact an administrator and request a new login. Deleting an account login does not modify or delete the employee record or any data associated with it.

To lock an employee’s account:

  1. Click the Employees button on the Administration Overview diagram (Employee view).

    The Employee Administration screen appears.

  2. Click Search at the top-right of the screen.

    The Employee Search window appears.

  3. Use the search criteria defined in the Search for employee procedure to narrow the search for the employee you want.

    The Employee Administration screen re-appears, displaying the search results table.

  4. Click Grey unlocked padlock to the right of the employee. The Grey unlocked padlock icon will change to Padlock locked - grey.
  5. To unlock the account, click Padlock locked - grey.

    Note: A user's icon may also show as Padlock locked - grey if your solution uses the Lock Out Users by Date Left implementation option and the termination date assigned to the user's profile expires. In these cases, you will not be able to unlock the account until the date has been removed or set to a later date.

    Note: If an employee locks themselves out of the system, you will see a red clock and lock icon to the right of the employee's name on the Employee Administration screen.

  6. To unlock the employee’s account, click Red clock with red padlock. A window will appear confirming that the lock status has changed.

    If an employee does not remember their password, they can ask for help by clicking the link on the home screen of Spend Dynamics. Note: this functionality is turned off by default for each organization. To have this turned on, contact the Spend Dynamics helpdesk: ebsclientservices@bmo.com.
