Statement manager report icons

The icons that appear beside each account holder's name on the Statement Manager (statement level) report are used to track the receipt of documents required to support an expense claim. The initial report result displays a statement level summary; therefore it is useful to note that the icons at this level indicate the statement level status for an account holder.

At the statement level, Grey paper clip in white circle with grey outline indicates an audit has not yet taken place for the tax receipts for this account holder, whereas White paper clip in green square indicates the audit was completed for the month.

Grey envelope in white circle with grey outline or White envelope in green square

 

Grey envelope in white circle with grey outline indicates the 'envelope' containing receipts (or statement with receipts attached) has not been received for this account holder for this period. White envelope in green square indicates the 'envelope' containing receipts (or statement with receipts attached) has been received.

Grey small letter 'i' in white circle with grey outline

Clicking this icon opens a window that allows you to make notes (with an audit trail) on tax documentation for this period for the account holder.

If your organization has a customized statement, you will be able to click White paper in grey square and view it from here.

Right-facing white arrow in grey square Right-facing white arrow in green square

Clicking this icon allows you to view all transactions associated with this statement. Right-facing white arrow in grey square indicates the statement only contains transactions without tax receipts, whereas Right-facing white arrow in green square indicates one or more transactions have an employee-provided tax receipt. Note: The transactions may fall outside the period date range specified when you defined your report search criteria.

Clicking this icon enables you to download statements for individual cardholders.

At the transaction level of the report, a similar set of icons relate to each transaction as opposed to the statement as a whole for the account holder.

There are two ways to view the report at the transaction level - you can click Right-facing white arrow in grey square or Right-facing white arrow in green square to view all transactions associated with this statement, or click the employee name to view just those transactions that meet your specified transaction-level search criteria.

At the transaction level, Grey paper clip in white circle with grey outline indicates a tax receipt has not been received, whereas White paper clip in green square indicates the provision of a tax receipt by the account holder.

Grey envelope in white circle with grey outline indicates that other supporting documentation (as stipulated by your organization's policy on expense claims) has not been received for this transaction. White envelope in green square indicates the other required supporting documentation has been received from the account holder.

Clicking Grey small letter 'i' in white circle with grey outline beside an employee's name opens a window that allows you to make notes (with an audit trail) on tax documentation for this transaction for the account holder, e.g. the date you sent an email to the account holder to request they provide a receipt for this transaction as it was not supplied with the rest of their receipts for the period.

White E in grey square or White E in green square

These icons will only appear if the option to mark receipts for extract has been enabled by the Spend Dynamics helpdesk: ebsclientservices@bmo.com and you have been granted the administrator right Admin - Export - Transaction Marking. White E in grey square indicates the transaction has not been marked for extract. White E in green square indicates the transaction has been marked for extract.

Clicking the transaction status icons (Green question mark in white circle with grey outline, Green check in white circle with grey outline, Red cross in white circle with grey outline) will display the coding completed by the account holder for each transaction. If the transaction is not locked (i.e. it hasn’t been extracted) and you have the User Right - Editable Reports, you can change the transaction’s coding as well as any linked receipt images.
